Staff & Permissions
Give other people access to your shop's dashboard, and control exactly which sections they can see.
Open Shop Settings → Staff & Permissions.
Only the shop owner can manage staff. Staff members see this section greyed out with a padlock, and cannot reach it by typing the URL.
Before you start
The person you're adding must already have their own Ecomplify account, registered with the email address you're going to use. There is no invitation email — ask them to sign up at ecomplify.com first, then add them.
If you try to add an email with no account behind it, you'll see:
No Ecomplify account found with this email. Ask them to sign up at ecomplify.com first, then add them.
Adding a staff member
- Enter their email address — the same one they used to sign up.
- Choose what they can access (see below).
- Click Add staff member.
They get access immediately. Their own dashboard updates right away; if they're signed in elsewhere it can take up to about 30 seconds.
Choosing permissions
Permissions are grouped into eight areas. Each has a Full access switch, and most have individual View / Create / Edit / Delete chips so you can be more precise.
| Area | Covers |
|---|---|
| Products | Products, collections, media library, bulk upload |
| Orders | Orders, returns, abandoned carts |
| Customers | Customers, reviews, messages |
| Marketing | Discounts, offers, social posts, recommendations |
| Content | Blog and email templates |
| Design | Theme, theme editor, custom homepage |
| Analytics | Dashboard stats, sales and search analytics, Action Replay |
| Shop settings | Individual settings areas — see below |
Analytics is all-or-nothing — it's a single switch with no View/Create/Edit/Delete breakdown.
Shop settings is split into separate areas you grant individually:
- General (also covers SEO, markets, captcha, advanced and payment)
- Tax
- Shipping
- Email (SMTP)
- Policies
- Cache
- Google login
Use Grant everything at the top right to select everything at once; it turns into Clear everything when everything is selected.
Billing, Domain and Staff & Permissions can never be granted to staff, no matter what you select. Only you can reach them.
A useful shortcut
Turn Full access on for an area, then click a single chip to remove just that one — for example, full Products access except Delete.
Managing your team
The Team panel lists everyone with access, showing their role (Owner or Staff) and their permission chips.
- Edit — change someone's permissions. Saving applies immediately.
- Remove — revokes access to this shop. Their Ecomplify account is not deleted, and you can add them again later.
A staff member with no permissions yet shows a warning chip: "No access yet - grant sections". They can sign in but will land on their profile page with nothing else available.
What staff members experience
Sections they don't have permission for stay visible in the menu but are greyed out with a padlock, and the tooltip reads:
No permission - ask the shop owner to grant this section
If they try a direct URL, they're redirected to the first section they are allowed to use.
If they hit a restricted action, the message names what's missing:
You do not have permission for Products (create). Ask the shop owner to grant it from Staff & Permissions.
If you remove someone while they're signed in, they see "Your access to this shop was removed by the owner" and are returned to their shop list.
Common questions
I added someone but they can't see anything. You added them without granting any areas. Click Edit on their row and grant what they need.
Can I invite someone who doesn't have an Ecomplify account? Not directly. They must sign up first with the email you plan to use, then you add them.
Can staff manage billing or connect a domain? No. Billing, Domain and Staff & Permissions are permanently owner-only.
Does removing a staff member delete their account? No. It only removes their access to this shop.
I granted a permission but they still can't get in. Ask them to reload. Permission changes reach other signed-in sessions within about 30 seconds.
Can I give someone access to only one of my shops? Yes — staff are added per shop. Adding someone here gives them no access to your other shops.
